Role outline:
Overseeing the day-to-day administrative and operational functions of the Norwich office and organisation. This role ensures the smooth running of office systems, supports staff and manages resources efficiently and supporting the management of events.
Key Responsibilities:
- Manage office operations, including supplies, equipment, and facilities.
- Coordinate administrative procedures and systems to improve efficiency.
- Supervise office staff and delegate tasks as needed.
- Support budgeting, invoicing, and financial reporting processes.
- Liaise with vendors, service providers, and building management.
- Ensure compliance with health and safety regulations.
- Oversee administrative systems and policies, including GDPR compliance
- Assist in HR tasks such as onboarding, scheduling, and record-keeping.
- Monitor and improve internal workflows and operational processes.

- Manage office operations, including tel. and tech support, event bookings, premises, and general administration
- Manage bookings and payments: Handling registrations, ticket sales, and communication with attendees before, during, and after the event.
- Compliance and Safety: Ensuring that all events comply with relevant laws, regulations, and safety standards.
- Budget Management: Prepare and manage budgets, ensuring cost-effectiveness and adherence to financial constraints.
- Venue Selection: Research and secure venues, negotiate terms, and ensure the venue meets event requirements.
- Coordination: Identify and liaise with performers, associates, staff, volunteers and suppliers (caterers, etc.) to ensure quality service delivery.
- Logistics Management: Oversee all logistical aspects, including travel, catering, equipment, and accommodation.
- Assist the Communications Manager in promoting events through various channels, including social media, email, and print.
- Coordinate event setup and ensure all activities run according to plan.
- Post-Event Evaluation: Collect feedback, analyse the success of the event, and prepare reports for future improvements.
Qualifications:
- Proven experience in comparable roles.
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and tools.
- Ability to work under pressure and meet tight deadlines.
Experience:
- Strong record and good understanding of the issues involved in delivering effective support services comparable to this role.
- An understanding of a range of approaches to working with service users and the implementation of different agendas, such as co-creation.
- Ability to work independently using own initiative whilst remaining accountable to line management.
- Excellent written and verbal communication skills with the potential to present information to a wide audience.
- The ability to establish good working relationships with service users, colleagues, other stakeholders externally and to work well within a team.
- Honesty, reliability and flexibility.
- A mature and thoughtful and proactive approach to the implementation of equal opportunities and management of diversity and intersectionality
- An understanding of what is required to build effective and lasting relationships with other professionals and organisations.
- An understanding of, and adherence to legislation, procedures, policies and good practice guidelines relevant to the role.

Trustees to the MensCraft Board
We are looking to recruit some new Trustees to our Board.
The current Board is committed to making a positive difference to men and boys in our community and to help us do so, we are looking to expand our experience and knowledge base as we grow and expand as an organisation. This is an exciting time to get involved in MensCraft CIO.
We would particularly like to hear from people (men and women of any age) who have an interest, experience and skills in some of the following areas:
- Experience of marketing and communications or People Management
- Building relations and networks – and ideally well connected!
- Broad experience of governance (especially company and employment law and regulations)
- Understanding of financial management in a [social] business
- Experience of income generation from donations, fees and contracts
- Sound understanding and experience of strategic business planning
- Wellbeing and development of men and boys, within a context of gender equality
In addition, we require…
Time Board meetings are held up to 6 times a year with other time commitments including task and working groups.
Willingness to occasionally represent the organisation to other bodies and attend events of behalf of the Board as required.
Energy and a positive attitude is essential.
